An additional feature in Gmail

Gmail is one of the most popular channels, especially as a means of official communication in a variety of workplaces. Google continues to add new functionality to its email service in response to its increasing success. Google is now implementing an “External” suffix to classify email threads/conversations with users outside of a user’s Google Workspace organization. Such emails will have an orange “External” dot in the subject line. The new update became available to Gmail Web and Android users on April 29, 2021. It would be available to iOS users later. Google Workspace, G Suite Basic, and Business customers will be able to use it.

Significance of the feature

This feature is done to distinguish emails sent to or from individuals who are not affiliated with the organization. The latest badge joins the current alert banner that displays before responding to emails received from outside your organization. These warnings not only help Gmail users prevent unintended responses but also remind them to exercise vigilance when dealing with external messages and relevant details. The new Gmail mark is activated by default, but administrators will disable the extra alert. As an administrator, you can allow notifications for messages with external recipients. 

4 Easy Steps to Enable/Disable the ‘External’ Recipients Alert

  1. Sign up for a user account to the Google Admin account.
  2. Go to Apps > Google Workspace > Gmail > End User Access from the Admin console Home tab.
  3. Scroll down to the Warn about external recipients setting and choose your organization’s name.
  4. Switch the alarm on or off by enabling or disabling the toggle, and then press Save.

Microsoft follows the same function

The new feature in Gmail, set reply alert to external messages. Reminding people not to communicate with recipients that are not members of their organization. Microsoft Outlook has a similar function in which the platform notifies users when an email has been generated from an outside organization. However, Microsoft does not have an “External” banner akin to Google to recognize those addresses.
